Send callers to voicemail and get the recording (Voicemail node)

The Voicemail node answers the caller with a greeting, records their message, and ends the call. The recording is saved with the call in your Calls history, and the node can alert you instantly by email and/or text. It's the standard last step after a Ring Group or Forward Call node — the safety net for calls nobody answered — and the go-to destination for the closed branch of a Business Hours node.
Before you start
- You need a call flow — see create a call flow.
- If you want a recorded greeting, have it ready as MP3 or WAV, under 10MB.
Step 1 — Add the Voicemail node
- Open your flow in Phone System → Call Flows.
- Drag Voicemail from the Node Palette onto the canvas and click it to open its settings.
- Wire it as the END of a path — for example from the bottom dot of your Ring Group, or from an IVR option's numbered dot. Voicemail always ends the call (the Routing preview marks it "Call ends here."), so nothing connects after it.
Step 2 — Set the greeting
- Typed greeting: enter it under Greeting Message (TTS) — for example "You've reached Ace Locksmith. Leave your name, number, and address and we'll call you right back."
- Recorded greeting: under Audio Greeting (optional), click Upload MP3 or WAV. Once uploaded the panel notes "Audio file will play instead of TTS greeting." — click Remove to switch back to text-to-speech.
Step 3 — Turn on notifications
- Email Notification — enter the address that should get an email for each new voicemail.
- SMS Notification — flip the toggle on and enter the phone number to text. The helper explains it plainly: "Receive an SMS when a voicemail is left."
You can use both at once, or neither — the recording is saved with the call either way.
Step 4 — Cap the message length and publish
Max Length (seconds) limits how long a caller can talk — 10 to 600 seconds (120 is the default). Then press Publish.
What the caller hears
The greeting plays (your recording or the text-to-speech message), followed by a record tone. The caller speaks, and the call ends when they hang up or hit the max length. Their recording appears on the call's row in Phone System → Calls, where you can play it back.
Troubleshooting
- No email or text arrived for a new voicemail — open the node and confirm Email Notification has the right address and the SMS Notification toggle is on with the right number, then press Publish — settings changes only go live on publish.
- Callers reach voicemail during business hours — your team wasn't ringing. Check who is online in the Live HUD and review the Ring Group ahead of the voicemail.
- The greeting is the computer voice, not my recording — the upload didn't stick or was removed. Re-upload under Audio Greeting (optional); when active, the panel shows the file name and the text-to-speech field greys out.
- Messages cut off — raise Max Length (seconds).
FAQ
How do I get notified when someone leaves a voicemail?
In the Voicemail node settings, enter an address under Email Notification and/or turn on SMS Notification with a phone number. You are alerted each time a voicemail is left, and the recording is saved with the call.
Can I record my own voicemail greeting?
Yes. Use Upload MP3 or WAV under Audio Greeting (optional). The recording plays instead of the typed text-to-speech greeting.
Where do I listen to voicemails?
Voicemail recordings are saved on the call itself — open Phone System, then the Calls tab, find the call, and play the recording from its row.
Does anything happen after the voicemail node?
No — voicemail always ends the call. The caller records their message and the call hangs up, so wire it as the last step of a path.
