Add or edit a customer

Customers live under Customers in the left sidebar. To add one, click Add Customer and fill in a first name and phone number — everything else is optional. To edit one later, use the pencil icon on their row or the Edit button on their detail page. To bring in a whole list at once, use Import with the Excel template.

Before you start

  • You need an owner, admin, or dispatcher login. Technicians can't manage the customer directory.
  • Phone numbers are US/Canada 10-digit numbers. Dispatch Bros stores them in a normalized format so texting, calling, and caller-ID matching all work automatically.

Step 1 — Add a customer

  1. Open Customers in the left sidebar.
  2. Click Add Customer (top right).
  3. Fill in the drawer:
    • First Name — required.
    • Phone — required, 10 digits.
    • Last Name, Email, Notes — optional.
    • Street Address — start typing and pick a suggestion; the City, State, and Zip fields fill in automatically.
  4. Click Add Customer at the bottom. The new customer appears at the top of the list and is immediately available in Messages, the dialer, and job creation.

Step 2 — Edit a customer

  1. Find the customer — the search box accepts a name, phone number, email, or city ("Search by name, phone, email, city...").
  2. Click the pencil icon on their row, or open the customer and click Edit at the top of their page.
  3. The same drawer opens titled Edit Customer with their current details filled in. Make your changes and click Save Changes.

You can also fix a customer's details without leaving an invoice or estimate you're building — the customer chip on those pages opens the same editor.

Step 3 — Import a customer list (optional)

  1. On the Customers page, click Import.
  2. In the Import Customers window, click Template next to "1. Download the template" and fill in the spreadsheet. First Name and Phone are required per row; Last Name, Email, and Address are optional.
  3. Click "2. Choose the filled .xlsx file" and pick your file.
  4. Click Preview import. Under "3. Review before importing" you'll see exactly how many new customers will be imported, how many rows are skipped as duplicates (the phone number already exists in your account), and which rows can't be imported and why. Nothing is saved at this point.
  5. Click the final import button to confirm. A summary shows how many customers were imported and what was skipped.

Imports are capped at 2,000 rows per file — split larger lists into multiple files.

Deleting a customer

Click the trash icon on the customer's row and confirm. Two rules apply:

  • Customers with jobs can't be deleted — you'll see "Cannot delete — customer has existing jobs." This protects your job and revenue history. Delete the jobs first if you really need the customer gone, or simply leave the record.
  • Deleting is permanent, so when in doubt, keep the record — it doesn't cost anything and preserves history.

Troubleshooting

  • "First name is required" or "Phone must be 10 digits" when saving — both fields must be filled, and the phone needs exactly 10 digits (no country code needed; it's added automatically).
  • "Invalid email" — the email field has a typo. Clear it or fix it; email is optional.
  • Import says rows were skipped as duplicates — a row's phone number already exists in your customer list. Duplicates are skipped, never overwritten, so an import can't damage existing records.
  • Import rejects a row's phone — the number couldn't be read as a valid 10-digit US/CA number. Fix the cell (digits only works fine) and re-upload.
  • "The file has no data rows." — the uploaded spreadsheet is empty below the header row. Make sure you filled in the template, not a blank copy.

FAQ

What information is required to add a customer?

Only a first name and a 10-digit phone number. Last name, email, address, and notes are optional.

Can I import my existing customer list?

Yes. Click Import on the Customers page, download the Excel template, fill it in, and upload it. You get a preview first — nothing is saved until you confirm — and up to 2,000 rows per file.

Why can't I delete a customer?

Customers with jobs can't be deleted — their job history would be orphaned. You'll see the message 'Cannot delete — customer has existing jobs.' Delete or reassign the jobs first, or just leave the record in place.

Will an imported customer show up in Messages and the dialer?

Yes. Imported customers land in the same customer directory everything else reads, so they appear in Messages contacts, the dialer, and job creation immediately.
