See everything about a customer in one view
Last updated: Aug 24, 2026
Every customer has a single page that answers "who is this, what do they owe, and what have we done for them?" Open Customers in the sidebar and click any name. The top of the page shows their contact info, a money summary, and activity counts; below that, tabs walk through every job, project, invoice, estimate, image, text message, and call tied to them.
Before you start
- Any owner, admin, or dispatcher login can open customer pages.
- Money figures come from the customer's invoices and recorded payments, so record payments on invoices to keep the summary accurate.
Finding the customer fast
The Customers list is built for speed:
- The search box matches name, phone, email, or city.
- By default the list is sorted by most recent activity — the badge reads "Sorted by recent activity", so the customer you just worked with is at the top. Click any column header (Name, Phone, City, Jobs, Added) to sort by that field instead, and click "Sort by recent activity" to come back.
- The four stat tiles are clickable filters: Total, With Jobs, With Projects, and No Jobs Yet. Click a tile to filter the list to just those customers; click it again to clear.
- The Job # and Invoice/Est. columns deep-link straight into a customer's recent jobs, invoices, and estimates without opening their page.
The summary cards
Open a customer and the top row shows three cards:
- Contact — phone (with one-click call and copy), email, and address. The copy button next to the phone copies the full job details of their newest job, ready to paste to a technician.
- Financials — the money picture:
- Paid — money actually received across their invoices, including partial payments.
- Invoiced — total billed (drafts and cancelled invoices don't count).
- Outstanding — what's still owed after payments.
- Avg per Job — average revenue on jobs that produced revenue.
- Open Pipeline — the value of their open estimates (money still winnable), shown only when they have open estimates.
- Activity — counts of Total Jobs, Open Jobs, plus their message and call totals.
A Notes card appears below when the customer record has notes.
The history tabs
Below the cards, tabs cover the complete history. Each shows a count so you can see at a glance where the activity is:
| Tab | What's inside |
|---|---|
| Jobs | Every job with status, type, source, technician, date, and amount — click a job number to open it |
| Projects | The customer's projects with contract value, payment progress, and an Open project button |
| Invoices | Every invoice with status, amount, and due date. Partially paid invoices show a green chip with the amount received, and a Receipt link appears when a card payment has a Stripe receipt |
| Estimates | Every estimate with its status, version, and — once converted and paid — a green Paid chip |
| Images | Every image attached to their invoices and estimates, plus photos the customer uploaded through their portal |
| Messages | The text conversation history with this customer |
| Calls | Incoming and outgoing calls with status and duration |
The tab you're on is kept in the page URL, so refreshing or sharing the link lands on the same view.
Acting from the customer page
- Call (top right) opens a chooser to call or text the customer. The call and text lines follow the job source of their newest job, so the customer sees the business number they already know.
- Portal Link shares their personal customer portal — see Give a customer their portal link.
- Edit opens their details for changes.
- On the Estimates tab, New estimate starts an estimate already attached to this customer.
- On the Projects tab, New project and From estimate… start a project for them.
Troubleshooting
- "Customer not found." — the link points to a customer that was deleted, or to a customer in a different company account. Go back to Customers and search for them.
- Paid shows less than you expected — Paid counts recorded invoice payments only. A payment collected outside Dispatch Bros counts once you record it on the invoice.
- The Images tab is empty — images live on documents. Attach photos to the customer's invoices or estimates, or have the customer upload photos through their portal link, and they'll appear here.
- Open Pipeline is missing from Financials — it only appears when the customer has open estimates. Won, rejected, and draft estimates don't count as pipeline.
FAQ
What does the Paid number on a customer mean?
Paid is money actually received — the sum of payments recorded on that customer's invoices. A partial payment counts the moment it's recorded, even if the invoice isn't fully paid yet.
What counts as Outstanding on a customer?
Outstanding is what's still owed across the customer's unpaid invoices — each invoice's real remaining balance after any partial payments.
Where do the customer's photos come from?
The Images tab collects every image attached to the customer's invoices and estimates, plus any photos the customer uploaded through their own portal link.
Can I call or text a customer from their page?
Yes. The Call button opens a chooser to call or text them using the right business line — the caller ID follows the job source their newest job came from.
