Create a job and assign a technician

To create a job, open Jobs in the left sidebar and click New Job. A four-section form opens: Client Information, Job Details, Schedule, and Assignment. Enter the customer's name and phone, pick a job type and source, choose a date and arrival window, assign a technician, then click Create Job. The technician can be texted or sent an internal message the moment the job is saved.

Before you start

  • You need a login that can create jobs — owner, admin, or dispatcher.
  • To assign someone, at least one technician must exist. If the list is empty, the form shows "No technicians found." with an Add one link to the Technicians page.
  • Job types and job sources should be set up first (Job Types, job sources) — though you can add a missing job type right from the form.

Step 1 — Open the New Job form

  1. Click Jobs in the sidebar, then the New Job button (top right).
  2. You can also open the same form from the Calendar: click an empty time slot and the form opens with that date and window pre-filled.
  3. If you're on an inbound call when you click, the job is linked to that call — you'll see a green Linked to call chip in the form header.

Step 2 — Client Information

  1. Enter First Name and Phone — both required. As you type, matching existing customers appear as suggestions; picking one fills the whole card.
  2. City, State, and Zip are required. Street Address is optional — jobs are often booked before the exact street is confirmed.
  3. Phone must be a valid 10-digit US number, or you'll see "Valid 10-digit phone number required".

When the address resolves to a different timezone than yours, a small Local Time clock appears next to the Street Address label showing the customer's current wall-clock time.

Step 3 — Job Details

  1. Pick a Job Type. If the type you need doesn't exist, type its name and use the inline add option — it's created and selected on the spot.
  2. Pick a Job Source (where the job came from — Google, a partner, your website).
  3. Ad Source and Referral Company are optional attribution fields.
  4. Add a Description of the work.

Step 4 — Schedule

  1. Scheduled Date defaults to today in your company's business timezone. Change it with the date picker.
  2. Pick a time mode:
    • Fixed Slot — a standard 3-hour arrival window (for example 7:00 AM - 10:00 AM).
    • Custom — your own start and end time. Typing shortcuts work: "1p" becomes 1:00 PM.
    • ASAP — no time window is committed. The form notes "No fixed time window will be saved."
  3. The Open Map and Open Calendar buttons float the live map or the full calendar above the form so you can check coverage without losing what you've typed.

Step 5 — Assign and notify

  1. Under Assignment, pick a technician in Assign Technician.
  2. Next to it, Notify technician controls how they hear about it: Default (your saved preference, falls back to SMS), SMS, Internal (in-app message and push), Both, or Don't notify.
  3. Assign Dispatcher and Assign Group work the same way — a group notifies every member of a named team group. Use + New group to create one inline.
  4. If your confirmation automation is enabled, a Send confirmation to client toggle appears — turn it on to text the customer their appointment details.

Step 6 — Save

Click Create Job. You'll get a success toast with the new job number, and notifications go out in the background — each one reports its own result toast as it lands. If required fields are missing, the button reads "Fill required fields" and each missing field shows its error.

Need to take a call mid-entry? Click the minimize button (the minus icon in the header) — everything you've typed is kept, and a restore pill brings the form back.

What your customer sees

If you turned on Send confirmation to client, the customer receives a text with their appointment details, sent from your business number. Nothing else is sent to the customer when a job is created.

Troubleshooting

  • The button says "Fill required fields" — at least one required field is empty. Which fields are required is configurable in Settings → Job Settings (details).
  • "No technicians found." — no active technicians exist yet. Use the Add one link, then reopen the form.
  • "Call link is not ready yet. Wait one second and try again." — you clicked New Job during an inbound call before the call was matched to its record. Wait a moment and click again.
  • The new job isn't on the Jobs page — the Jobs list defaults to a "Today" date filter. If you scheduled the job for another day, change the date filter or search for the job number.
  • An upgrade prompt appeared instead of saving — your plan's job limit was reached. See upgrade your plan.

FAQ

Why is the save button greyed out and saying to fill required fields?

One or more required fields are empty. After your first save attempt, every missing field shows a red border and an error line under it — fill those and the button becomes Create Job again.

Can I create a job without picking a time?

Yes. In the Schedule section switch the time mode to ASAP — no fixed time window is saved, and the job still appears on the Jobs page for its scheduled date.

Does the technician get a text automatically?

Only if you choose a notify channel. Next to the technician picker, choose SMS, Internal, Both, or Don't notify. Default follows your saved notification preferences and falls back to SMS.

Why did my new job land on tomorrow's date?

It didn't — the date defaults to today in your company's business timezone, not your device's. If a dispatcher works from another timezone, the job still lands on your business's today.
