What your customer sees: portal, invoice, estimate, and booking pages

Your customers interact with four kinds of pages, and none of them require a login: the personal customer portal (everything in one place), the public invoice page (view and pay), the public estimate page (review, approve, and sign), and your online booking page (request or schedule a service). All of them carry your branding, and every one is just a link you send — by text, email, or from your website.

The customer portal — everything in one place

Each customer has a permanent personal link you share from their page in your dashboard (see Give a customer their portal link). The portal greets them by name under your brand and organizes their history into tabs:

  • Projects — the contract amount, a green progress bar of what they've paid, the payment schedule with each milestone labeled Paid / Invoiced / Upcoming, and links to the project's documents. The customer sees what was agreed, what has been billed, and what they've paid — never your costs.
  • Estimates — each estimate with a status badge and a View Details link to its full public page.
  • Invoices — each invoice with its status. Unpaid invoices show the remaining balance in red with a View & Pay link.
  • Images and Files — photos and documents from their estimates and invoices, plus anything they upload themselves (up to 25 MB per file). Uploads flow back to their customer page in your dashboard.
  • Notes — a shared notepad where they can leave you free-form notes.

The portal footer reads "Powered by Dispatch Bros"; everything else is your brand — and when the customer came through one of your job-source brands, the header shows that brand's name and logo.

The public invoice page — view and pay

Every invoice has a public link (sent by text or email, or reached from the portal's View & Pay). The customer sees the invoice exactly as you built it — line items, totals, any card service fee you configured — and can pay by card when card payment is enabled for that invoice. Payments land in your Stripe Connect account and the invoice updates automatically. Details: Send an invoice pay link.

The public estimate page — review, approve, sign

Estimates share the same pattern: a public link opens the full estimate, where the customer can review the scope, approve, and sign. Depending on your setup they can also pay a deposit right after approving. Details: Estimate signing and Estimate deposits.

The online booking page — new customers find you

Your booking page is a public link you can put on your website, Google profile, or social pages. It's fully branded — your logo, your colors, your phone number in the header — and walks the visitor through four steps labeled Service, Details, Schedule, and Confirm:

  1. Service"What do you need help with?" shows your job types as cards.
  2. Details — name, phone, email, and the service address, with a plain notice about how the information is used.
  3. Schedule — a date and time-window picker that respects your business rules (blocked days, how far ahead customers can book, and whether same-day is allowed), plus a "flexible — first available" option and a Describe the Issue box.
  4. Confirm — a summary, a consent line about being contacted, and the submit button.

The page runs in one of two modes you choose in settings: request mode (headline "Request a Service", submit button "Submit Service Request") or schedule mode (headline "Schedule a Service", submit button "Submit Appointment Request"). Either way, after submitting the customer sees a confirmation screen with a reference number and a note that you'll reach out to confirm — nothing is auto-confirmed without you. Troubleshooting

  • A customer reports "Portal not found" — the link was cut off or edited in transit. Copy it fresh from their customer page and resend by text.
  • The booking page says "Online Booking Unavailable" — online booking is switched off in your booking settings. The page still shows your phone number so callers aren't lost; flip booking back on in settings to reopen the form.
  • The booking page says "Company Not Found" — the link is missing or misspelling your company identifier. Copy the booking link again from your settings.
  • A customer can't pick a date — the date falls on a blocked day, a blocked date, or outside your advance-booking window. The form tells them to choose another date; adjust your booking rules if the restriction is unintended.
  • The customer paid but the portal still shows a balance — give it a moment and refresh; card payments post automatically. A payment collected outside Dispatch Bros shows only after you record it on the invoice.

FAQ

Do customers need to log in to see anything?

No. Every customer-facing page is a link — the portal, invoice, estimate, and booking pages all open directly with no account or password.

Whose branding do customers see?

Yours. The portal and booking pages show your business name and logo, and if the customer came through one of your job-source brands, the portal header shows that brand instead.

Can I preview exactly what my customer sees?

Yes. On any customer's page, Portal Link → Open portal link opens their portal in a new tab. Public invoice and estimate pages can be opened the same way from each document.

Can customers see my costs, commissions, or internal notes?

No. Customer-facing pages show only customer-safe information — totals, balances, schedules, and shared documents. Internal costs, profit, and team notes never appear.
