Build your Items catalog: Labor, Material, Service, Package

The Items catalog is your price book: every labor rate, material, service, and package you sell, saved once and reused everywhere. Open the Invoices group in the left sidebar and click Items — the page is titled Saved Items: "Items you can add to any invoice or estimate with one tap". Each item mirrors an invoice line, so picking it fills a row's price, quantity, discount, and tax instantly.

Before you start

  • Items are shared by the whole company — build the catalog once and every dispatcher uses the same prices.
  • An item can be deactivated later without deleting it, so don't worry about getting the list perfect up front.

Step 1 — Add an item

  1. On the Saved Items page, click Add Item.
  2. Fill the form:
    • Name (required) — what shows as the line's item, e.g. "Spring Repair Service".
    • Description — optional customer-visible detail.
    • CategoryLabor, Material, Service, or Package. Categories drive the filter chips and the count tiles at the top of the page.
    • Quantity — the default quantity the line starts with.
    • Rate — the unit price.
    • Discount % and Tax % — optional per-line seeds.
  3. Click Add Item to save (or Save Changes when editing).

Step 2 — Or generate an item with AI

  1. Click Generate with AI on the Items page.
  2. The dialog says: "Describe the item or service and AI will generate the details for you." Type something like "garage door spring repair" and click Generate.
  3. The Add Item form opens pre-filled with a name, description, category, and suggested price — review, adjust the price to your market, and save.

Document forms have AI helpers too: invoice lines can generate their customer-facing description from the item name, and the change-order form's Generate Line Items with AI drafts a whole set of priced lines from your work notes.

Step 3 — Use items on invoices and estimates

On the Create Invoice (and estimate) form:

  1. Click Saved Items — either the button above the line items or the one on any individual row.
  2. Search by name, description, or SKU and click an item.
  3. The line fills with the item's name, description, saved quantity, rate, discount, and tax. The header picker appends a new row; a row's own picker fills that row if it's empty, or inserts right below it.

In free-form mode the same pick lands as one text block with a flat amount (price × default quantity), so saved items work in both line modes. To bundle several items that always go together, save them as a template instead — see Invoice templates.

Managing the catalog

  • Search items... and the category chips (All, Labor, Material, Service, Package) filter the table.
  • The Status toggle activates/deactivates an item. Inactive items are hidden from the Saved Items picker on documents but keep their history.
  • The pencil edits, the trash deletes. Deleting asks: "Are you sure you want to delete this catalog item? This action cannot be undone." Prefer deactivating when the item might come back.

Troubleshooting

  • "No items found" in the Saved Items picker — no active item matches your search. Check the item exists and its Status toggle is on; inactive items don't appear on documents.
  • "No items match your search." — the Items page filter is excluding everything; clear the search or switch the category chip to All.
  • AI generation fails — you'll see the error inline; retry with a simpler description or add the item manually.
  • An item's price changed but old invoices didn't — correct: documents copy the item's values at the moment you pick it. Catalog edits only affect future picks.

Where do I find the Items catalog?

What do the Labor, Material, Service, and Package categories do?
