Set up My Company, License, and Taxes on your documents

Your document identity lives in Invoice Settings: open Invoices in the left sidebar and click Settings. Six tabs — My Company, License & Insurance, Preferences, Taxes, Contracts, and Templates — control the logo, business details, license and insurance lines, tax rates, and terms that appear on every invoice and estimate. Edits are saved with the Save All button.

Before you start

  • You need an owner or admin login (or settings edit permission) to change these; others can view but the fields are disabled.
  • The page header reads "Configure what appears on your invoices." — these settings shape the documents, not your billing plan.

Step 1 — My Company: logo and identity

  1. Open the My Company tab. If you use multiple brands, a switcher at the top ("Company identity for") lets you pick "My Company" or a job source — per-source brands are covered in brand invoices per job source.
  2. Under Company Logo, click Upload Logo. The page notes: "This logo appears on invoices, emails, and the public invoice page. Max 2MB, image files only." Use Remove to clear it.
  3. Under Company Identity on Invoices, fill in Business Name, Phone, Email, Street Address, City, State, and ZIP. The hint explains the behavior: "Override what appears in the invoice header. Leave blank to use your company profile defaults."
  4. Optionally add a Privacy Policy line — it prints on customer invoices and estimates, and each job source can override it.

Step 2 — License & Insurance

On the License & Insurance tab:

  1. Contractor License — enter the License Number, State Issued, and Expiry Date, then tick Show on invoices if you want the license printed on documents.
  2. Insurance — enter the Insurance Provider, Policy Number, and Expiry Date, with its own Show on invoices checkbox.

Many states require the license number on customer paperwork — this is the one place to set it, and it flows to every invoice, estimate, and PDF.

Step 3 — Taxes

On the Taxes tab you manage reusable Tax Rates — the page explains: "Manage reusable tax rates. The default rate is auto-applied to new invoices."

  1. Click Add Tax, give it a Name (for example "Sales Tax") and a Rate (%), then save. The first rate you add becomes the default automatically.
  2. Use Set Default on any other rate to make it the one new invoices start with — the default shows a DEFAULT chip.
  3. Edit or delete rates with the pencil and trash icons.

On an individual invoice you can always type a different rate, or use per-line tax percents instead.

Step 4 — Save

Click Save All (top right) or Save All Settings (bottom) — both persist everything on the company tabs. You'll see "Invoice settings saved" on success. The Templates tab saves itself, and a job source selected in the brand switcher has its own per-source Save.

Troubleshooting

  • My logo upload fails — the file must be an image under 2MB. Convert oversized PNGs or use a JPG.
  • Fields are greyed out — your role can't edit settings; ask an owner or admin.
  • "No tax rates configured. Add one to auto-apply to new invoices." — the Taxes tab is empty; add at least one rate so new invoices start with the right tax.
  • The invoice header still shows old details — identity fields here override the header only when filled; blank fields inherit your company profile (from general settings). Check both places, and remember to press Save All.

FAQ

Where do I upload my company logo?

Invoices → Settings → My Company tab. The logo appears on invoices, emails, and the public invoice page. Max 2MB, image files only.

Do my license and insurance numbers have to show on invoices?

No — each has its own "Show on invoices" checkbox on the License & Insurance tab. Fill them in and leave the box unchecked to keep them off the documents.

How does the default tax rate work?

On the Taxes tab, the rate marked DEFAULT is auto-applied to every new invoice. You can override the rate on any individual invoice, and the last rate you used becomes your device's suggestion.

Why don't my changes appear on invoices?

Settings are saved with the Save All button — leaving the page without saving discards edits. Also note that the identity here only overrides the header; blank fields fall back to your company profile.
