How customers pay: the public invoice link

When you send an invoice from Dispatch Bros, the customer receives a secure public link — a web page where they can read the invoice, download a PDF, sign it, and pay. Card payments run through your own Stripe account, and Zelle, Venmo, and Cash App can be offered alongside. Nothing requires the customer to log in or install anything.

  • Sending by email or text delivers the link automatically.
  • On the invoice page inside Dispatch Bros, the Link button copies it — you'll see "Public link copied to clipboard" — so you can paste it anywhere (a chat, a work order, another system).
  • The link stays valid after payment, so a paid invoice doubles as the customer's receipt. Resend on the invoice page re-delivers it.

What your customer sees

The page shows the invoice exactly as you previewed it, under your sending brand's logo and details. Along the top:

  • Print and Download PDF buttons.
  • A green Pay Now button when the invoice is payable.
  • Tabs when there is more to show: the invoice itself, a Terms & Conditions tab (your contract text and any attached contract files), a Files tab for attached photos/documents, and a green Pay tab.

Paying by card

  1. The customer clicks Pay Now, which opens the Pay tab.
  2. If you requested a deposit, they choose between "Deposit due upon signing" and "Full balance" — both amounts are computed server-side. Otherwise the balance due shows plainly.
  3. If tips are on, the "Say thanks with a tip" step offers "No tip", 10%, 15%, 20%, or "Custom" — and notes "100% of your tip goes to the team."
  4. They enter the "Name on card" and "Billing ZIP code", then click "Continue to Card".
  5. A breakdown shows the invoice amount, tip, and any card service fee, with the total. If you set a card fee, it is disclosed before any card details are entered. They enter the card and pay.
  6. On success the page shows "Payment successful" and the invoice flips to Paid in your account immediately.

On a desktop computer, a scan-to-pay QR code lets the customer finish the payment on their phone instead of retyping the link.

Paying by Zelle, Venmo, or Cash App

If you configured payment handles (in Invoice Settings or per job source), those methods appear as choices on the Pay tab:

  1. The customer picks the method and sees exactly where to send the money, with a Copy button (Venmo and Cash App also get an open link).
  2. After sending in their own app, they tap "I've sent the payment".
  3. The page shows "Payment reported" — and on your side the invoice shows a notice that the "Customer says they paid", with "Confirm payment received" and "Dismiss" buttons. Confirming records the payment; the money itself never moves through Dispatch Bros. See Zelle and Venmo deposits.

Signing

Unsigned invoices show a Confirm & Sign button at the bottom of the document. It opens the "Sign to Accept Invoice" form, where the customer types their full name — the page explains that typing their name is an electronic signature. Once signed, the invoice shows a green "Digitally Signed" badge with the date, and your invoice list lights up the signature icon. If the invoice carries an unpaid deposit and a live payment path, signing routes through the Pay tab first so a signature never lands with the deposit unpaid.

Troubleshooting

  • No Pay button or Pay tab — the invoice is a draft, already paid, or cancelled; or there's no payment path: Stripe Connect isn't set up, the invoice was sent with card payment turned off, and no Zelle/Venmo/Cash App handle is configured. The customer sees a note that online payment isn't available and to contact you instead.
  • "Payment cancelled" banner — the customer started a card payment but didn't complete it. They can simply try again with Pay Now.
  • "Invoice not found" — the link is wrong or the invoice was deleted. Copy a fresh link from the invoice page and resend.
  • Customer reported a Zelle/Venmo payment but the invoice isn't paid — that's by design: a reported payment waits for your "Confirm payment received" click on the invoice page.
  • Card payment fails at the card step — the card was declined or 3-D Secure wasn't completed. The page keeps the error visible; the customer can retry with the same or another card.

FAQ

Does my customer need an account to pay?

No. The invoice link opens a public page — the customer views, signs, and pays right there with no login or app.

Why doesn't my customer see a Pay button?

The Pay tab only appears on sent invoices that have a live payment path. Draft, paid, and cancelled invoices aren't payable, and card payment requires Stripe Connect plus the "Let client pay with a credit card" box checked at send time. Zelle/Venmo/Cash App appear only when a handle is configured.

Can the customer pay just the deposit?

Yes. When the invoice has a "Request upon signing" deposit, the payer chooses between the remaining deposit and the full balance — both amounts are computed by the server.

How do I know when the customer viewed or paid?

The invoice list shows a green eye icon once the customer opens the link and a pen icon once they sign. Online payments flip the invoice to Paid immediately.

What happens when a customer pays by Zelle or Venmo?

They send the money in their own app and tap "I've sent the payment." That records a report on the invoice — you confirm it in Dispatch Bros before the invoice counts as paid.
