Run an automation for some job sources only
Last updated: Aug 24, 2026
Every automation can be scoped to specific job sources — so your Google jobs get a review request but your warranty-network jobs don't, or each brand you run gets its own wording. There are two tools: the Source Filter inside the automation's editor (one automation, limited to chosen sources), and duplicating the automation (a separate copy per source, each with its own message, timing, and sender).
Before you start
- Your job sources must exist and be active (create a job source).
- Jobs need their source set — an automation scoped to "Google" can only match jobs whose source is Google.
Step 1 — Limit an automation with the Source Filter
- Open Automations → Workflows and click Configure on the automation.
- Scroll to the Source Filter panel. With nothing checked it reads: "All job sources will trigger this workflow."
- Check the sources that should trigger it — the caption updates to show how many are selected. With a long list, use the search box ("Search sources by name...") to find one fast; filtering the list never unchecks sources that are already selected.
- Press Save Changes.
From then on, jobs from unchecked sources simply never queue this automation. Back on the card list, the summary line shows either All sources or how many sources are selected.
Step 2 — Or make a per-source copy
When sources need different messages — not just on/off — duplicate the automation:
- On the Workflows tab, click the copy button on the card ("Make a copy of this automation"). The copy opens in the editor immediately and carries a Copy badge in the list.
- Rename it (for example "Review Request — Google"), point its Source Filter at just that source, and adjust the Message Template, timing, and Sender Number as needed.
- Repeat for each source, and set the original's Source Filter (or toggle) so the copies don't overlap it.
Copies are fully independent workflows: their own toggle, their own runs in the Runs tab, their own resend settings. A copy can be deleted with its trash button ("Delete this copy") — deleting warns that it "permanently removes the copy and its pending sends" — while the seeded originals can only be toggled off.
Sender numbers follow the source too
With the sender strategy Use source default number, each source's messages send from the number you assigned to it on the Sender Numbers tab — so a per-source copy automatically texts from the right line. Sources without an assigned number show "Fallback to primary" and send from your company primary number (assign sender numbers).
Troubleshooting
- "No active job sources found." in the Source Filter — your company has no active sources to pick from. Create one first (create a job source).
- The search finds nothing — the panel shows "No sources match" with your query; clear the box to see the full list again.
- A job from a filtered-out source still got a text — check for an enabled Copy of the same automation whose filter includes that source, and check the job's actual source field on the job itself.
- The automation stopped firing entirely after filtering — make sure the checked sources are the ones your jobs really use; an automation scoped to a source that never gets jobs never runs. The Runs tab shows what queued (or didn't).
FAQ
What happens when no sources are checked in the Source Filter?
All job sources will trigger the workflow — an empty filter means everything, not nothing.
Can two copies of the same automation run for the same job?
Give each copy a non-overlapping Source Filter and only the matching copy fires. If two enabled copies both match a job's source, both will queue — so keep the filters disjoint.
Can I delete an automation I no longer need?
Copies can be deleted (the trash button on the card). The seeded originals can't be deleted — turn them off with the toggle instead.
Do team notifications support source filtering too?
Yes — the Source Filter panel appears in every workflow's editor, team and customer alike.
