Require fields when a job is created
Last updated: Aug 24, 2026
You decide which fields a dispatcher must fill before a job can be saved. Open Settings (bottom of the left sidebar), go to the Job Settings tab, and find the New Job Form Rules card — eight toggles that make individual fields required or optional on the New Job form. Customer basics are non-negotiable: "Control which fields are required when creating a job. Client info (name, phone, city, state, zip) is always mandatory; street address is optional."
Before you start
- You need an owner or admin login to change these — the toggles are visible but disabled for other roles.
- The rules are company-wide and apply everywhere the New Job form opens: the Jobs page, the Calendar, and message-driven job creation.
Step 1 — Open the rules
- Click Settings in the left sidebar.
- Open the Job Settings tab.
- Scroll to the New Job Form Rules card.
Step 2 — Choose what's required
Each toggle makes one field mandatory on the New Job form:
| Toggle | What it requires |
|---|---|
| Job Type | "Require a job type to be selected" |
| Job Source | "Require a job source to be selected" |
| Description | "Require a job description" |
| Scheduled Date | "Require a scheduled date" |
| Time Slot | "Require a time slot" |
| Technician | "Require a technician to be assigned" |
| Dispatcher | "Require a dispatcher to be assigned" |
| Assign Group | "Require a team group to be selected" |
Two notes on how the rules behave on the form:
- Time Slot applies to the Fixed Slot and Custom modes; choosing ASAP intentionally satisfies it, because ASAP means "no committed window".
- Required fields show a red asterisk; optional ones are tagged (optional).
Step 3 — Save
Click Save Rules. You'll see a "Job form rules saved" toast and the New Job form picks up the change immediately — no re-login needed.
What dispatchers see
On a save attempt with something missing, the New Job form's button changes to "Fill required fields", every missing field gets a red border, and each shows its own message — for example "Job type is required", "Technician is required", or "Scheduled date is required". Collapsed assignment rows auto-expand if their required field is the one that's missing, so an error can never hide.
Troubleshooting
- The toggles are greyed out — your role can't edit settings. Ask an owner or admin.
- A dispatcher says the form demands a field you turned off — make sure you clicked Save Rules after flipping the toggle; unsaved toggles don't apply.
- You required a technician but have none — the form will show "No technicians found." with a link to add one; either add a technician or turn the Technician requirement off.
- Closing still demands a technician — that's separate and always on: closing a job requires a technician because the money math needs one.
FAQ
Which fields are always required, no matter the settings?
Customer first name, phone, city, state, and zip are always mandatory, and street address is always optional. The toggles control everything else on the form.
Do the rules apply to jobs created from the Calendar or from messages?
Yes — every surface that opens the New Job form enforces the same rules, because they're company settings, not per-page options.
Why can't I flip the toggles?
Changing job form rules needs edit permission on settings — owner or admin. Dispatchers see the toggles but can't change them.
Does requiring a technician change closing a job?
No — closing always requires a technician regardless of these settings. This page only controls the create form.
