Reschedule a job or change its arrival window

The fastest way to reschedule is to drag the job on the Calendar — drop it on a new day or time and it saves immediately, with a toast confirming the move. You can also use the quick date popup on any row of the Jobs table, or open the job's edit form and change the Scheduled Date and time. However you do it, appointment reminders are cancelled and re-queued for the new schedule automatically.

Before you start

  • You need a login that can edit jobs — owner, admin, or dispatcher.
  • Rescheduling never changes the job's status or money — a closed job's schedule can still be corrected.

Option 1 — Drag it on the Calendar

  1. Open Calendar and find the job (use Day, Week, or Month view).
  2. Drag the job card to the new day or time and drop it. A toast confirms the move with the job number and new time.
  3. Drag the bottom edge of a card in Day or Week view to change its end time — you'll see a "Job duration updated" toast.
  4. Hold Ctrl (Cmd on Mac) while dragging to copy the job instead of moving it — the original stays, and a new job is created at the drop target.

Option 2 — Quick date popup in the Jobs table

  1. Open Jobs and find the row.
  2. Click the job's date cell — its hover text is "Change date & time" — and pick the new date and window in the popup. The change saves in place without opening the full form.

Option 3 — Edit the job

  1. In the Jobs table, open the row's three-dots menu and choose Edit job (opens the job in a new tab), or open the job page directly.
  2. In the Schedule section, change Scheduled Date and the time mode:
    • Fixed Slot — standard 3-hour arrival windows (7:00 AM - 10:00 AM, 8:00 AM - 11:00 AM, … 4:00 PM - 7:00 PM).
    • Custom — exact start and end times.
    • ASAP — clears the window entirely; the form notes "No fixed time window will be saved."
  3. Click Save Changes.

When the customer asks to reschedule

If a customer replies to their appointment text asking to move it, the Jobs table marks the row with a small blue "R" letter under its three-dots menu, and the menu gains a matching entry that opens the customer's SMS thread. Read their message, agree on a new time, then reschedule with any of the options above.

Troubleshooting

  • The drag snapped back — the save failed ("Failed to reschedule job"). Check your connection and try again; the calendar reverts the card so nothing is half-moved.
  • The job disappeared from the Jobs list after moving it — the Jobs page date filter (default "Today") is hiding it. Widen the date filter or search for the job number.
  • End time won't save before the start time — the edit form requires the window to be in order: "End time must be after start time".
  • The customer got two reminder texts — they didn't: rescheduling cancels the old reminders before queuing new ones. If a reminder had already been sent before you rescheduled, that one can't be unsent.

Do appointment reminders update when I reschedule?

Yes. Any change to the job's date, start time, or end time cancels the old reminders and queues new ones for the new schedule automatically.

What are the standard arrival windows?

Three-hour windows from 7:00 AM - 10:00 AM through 4:00 PM - 7:00 PM. You can also enter a custom start and end time, or choose ASAP for no fixed window.
