Create and dispatch your first job

To create a job, open Jobs in the left sidebar and click New Job. The form has four numbered sections — Client Information, Job Details, Schedule, and Assignment — and you finish by pressing Create Job. The customer record is created or matched automatically from the name and phone you type, the job lands on the Jobs page and Calendar, and the assigned technician can be notified by text in the same click.

Before you start

  • You need an owner, admin, or dispatcher login.
  • Set up at least one job type and one job source — both are required on the form by default.
  • To assign the job, you need at least one technician on your team.

Step 1 — Client Information

  1. Click Jobs in the sidebar, then New Job (top right).
  2. Enter the client's First Name and Phone (10-digit US number). Last name is optional. As you type, matching existing customers are suggested — pick one and every field fills in from their record.
  3. Enter the Street Address and pick from the suggestions — city, state, and zip fill in automatically. The address is what puts the job on the map and drives technician routing.

Step 2 — Job Details

  1. Pick the Job Type (what kind of work) and the Job Source (where the call came from) — both required by default.
  2. Optionally set an Ad Source, a Referral Company, and a Description of the work.

Step 3 — Schedule

  1. The Scheduled Date defaults to today (in your company's time zone). Change it to schedule ahead.
  2. Pick a time mode with the toggle next to Time:
    • Fixed Slot — choose a preset arrival window from the list.
    • Custom — type your own start and end time (shortcuts work: typing "1p" finds 1:00 PM).
    • ASAP"No fixed time window will be saved." The job is dated but has no time window.
  3. Need context while scheduling? Open Map and Open Calendar pop the live map or the full calendar above the form without losing your work.

Step 4 — Assignment

  1. Pick the tech under Assign Technician. You can also assign a dispatcher (Assign Dispatcher) or fan the job out to a group (Assign Group).
  2. Next to each pick, choose how they hear about it — Notify technician offers Default, SMS, Internal, Both, or Don't notify. "Default falls back to SMS", so out of the box your tech gets a text with the job details.

Step 5 — Create the job

Press Create Job. The job gets a job number, appears on the Jobs page and Calendar, and the notify texts go out. If the button reads "Fill required fields" instead, at least one required field is empty — scroll up: every missing field is outlined in red with a message under it.

Troubleshooting

  • The button says "Fill required fields" — a required field is empty. Look for red-outlined fields: "Job type is required", "Job source is required", "Technician is required", "Time slot is required", or "Valid 10-digit phone number required" appear under the exact field that needs attention.
  • "End time must be after start time" — in Custom time mode the end time you picked is at or before the start time.
  • Too many fields are required for how we work — owners can change which fields are mandatory; see required job fields.
  • The tech never got the text — check the notify channel wasn't Don't notify, and confirm your number's text readiness.
  • The job isn't on the Jobs page — check the date filter at the top of the page; the job lives on its scheduled date.

FAQ

Do I have to create the customer before creating a job?

No. The New Job form takes the client's name and phone directly and creates or matches the customer record for you. Start typing a name or phone and existing customers are suggested.

Which fields are required on a new job?

Out of the box: the client's first name and phone, job type, job source, a time, and a technician. Owners can change which fields are required in Settings under Job Settings.

How does my technician find out about the job?

Pick them under Assign Technician and choose a notify channel — SMS, Internal (app notification), Both, or Don't notify. Default falls back to SMS.

What does ASAP mean on the schedule?

The job is scheduled for the chosen date with no fixed time window — useful for emergency calls where the tech heads over as soon as possible.
