Add a technician

To add a technician, open Team → Technicians in the left sidebar and click Add Technician. Fill in their name, base address, and default commission percent, then decide whether they get their own login: enter an email to send an activation invite, or leave it empty to add them assign-only. The new technician immediately shows up in job assignment dropdowns, calendar lanes, and the close-job screen.
Before you start
- You need a role that can create technicians — owner and admin have this by default (see what each role can do).
- Your plan sets a team-member limit. If you hit it, Dispatch Bros shows an upgrade prompt instead of saving.
Step 1 — Open the Add Technician drawer
- Click Team in the left sidebar, then Technicians.
- Click Add Technician (top right). If the list is empty you'll see "No technicians yet." with an Add Your First Technician button.
Step 2 — Fill in the basics
- First Name is the only required name field — Last Name is optional.
- Email — this is optional, and it decides the login:
- With an email, the drawer notes "An activation email will be sent so the technician can set their own password." The hint under the field says "This will be their login email".
- Without one, you'll see "No email — the technician is added without a login and no activation email is sent. You can add their email later from Edit."
- Phone Number is optional (10 digits when provided).
- Base Address is required — the hint explains it's "Used for nearest-tech dispatch suggestions".
Step 3 — Set the pay structure
- Default Commission % — the technician's cut of the job's net, used to pre-fill every job close. Must be between 0 and 100.
- Pay Type — pick Commission Only, Hourly Only, or Hybrid (Commission + Hourly). Choosing hourly or hybrid reveals an Hourly Rate field.
- Enable Clock In/Out — check this to let the technician track hours for payroll.
Step 4 — Optional flags and color
- Sub (shared subcontractor) — check this only for a subcontractor who should never get a login; the label notes "Assign-only, no login". See the Sub flag explained.
- Calendar Color — pick the color used for this technician's lane and events on the calendar.
Click Add Technician at the bottom to save. If validation blocks the save you'll see "Please fix the highlighted fields below and try again." at the top of the drawer.
Managing technicians after they're added
- Click any row to open the technician's detail page: their Default Commission Rate, stat tiles (Total Jobs, Total Payouts, Avg Job Value, Payouts This Month, Payouts This Year), and a Closed Jobs table with the finance math per job.
- The green Active / red Inactive pill is a toggle — click it to deactivate or reactivate. Inactive technicians stop appearing in assignment dropdowns.
- Resend Invite re-sends the activation email to a technician who hasn't set up their login yet.
- Pencil icons in the list edit the name, phone, and commission percent inline; Edit opens the full drawer.
- Delete permanently removes the technician. The confirmation warns: "This will permanently delete this technician and unassign them from all jobs. This action cannot be undone."
Troubleshooting
- You see an upgrade prompt instead of a save — your plan's team limit is reached: "Team member limit reached. Upgrade your plan to add more." See upgrading your plan.
- "Commission rate must be between 0 and 100" — the commission field needs a plain number in that range, no percent sign.
- The save was rejected because the email is already in use — that email belongs to a technician with a real, working login at another company who isn't marked as a Sub. The error banner offers a Contact support (live chat) link for these cases.
- A banner says the technician was added without a login — the server can decide this on its own (a Sub, or a shared person). The technician can still be assigned to jobs right away; no activation email was sent.
FAQ
Does a technician need an email address?
No. Leave the email empty and the technician is added without a login — you can still assign them to jobs and pay them. Add an email later from Edit to invite them to the app.
My technician never got the activation email. What do I do?
Open Team → Technicians, click the technician, and press Resend Invite. Also have them check spam. If the row was added as a shared subcontractor, no email is ever sent — that is by design.
What does deactivating a technician do?
An inactive technician stops appearing in assignment dropdowns, but their history and closed-job records stay. Click the Active/Inactive pill to flip it back any time.
Can I change the commission rate later?
Yes — click the pencil next to the Commission % in the list, or open the technician and press Edit next to Default Commission Rate. The new rate applies to future job closes only.
