Choose who gets notified for each event
Last updated: Aug 24, 2026
Dispatch Bros has three notification layers you control separately: per-event delivery channels for team notifications (SMS, in-app, both, or none), Alert recipients that mirror every bell notification to extra phones and emails, and No-Reply Alerts that flag ignored customer texts. Team channels live on the Notification settings page; the other two live in Settings → General.
Before you start
- Tenant-wide defaults, alert recipients, and No-Reply Alerts are owner/admin only. Personal channel preferences are open to every user.
- Text delivery needs a text-ready number — see SMS ready status. The Alert recipients card warns you when texting isn't available yet.
Step 1 — Set team delivery channels per event
Open the Notification settings page (Settings → Notifications, at
/settings/notifications). "Pick how each team-facing notification is
delivered. If no setting exists, Dispatch Bros uses SMS."
Three events are configurable:
| Event | When it fires |
|---|---|
| Job assigned to a teammate | A dispatcher creates a job and selects a technician or dispatcher to notify |
| Status update request | Sent to the assigned tech a set delay after a job is in progress |
| Appointment reminder | Sent to the assigned tech ahead of an appointment |
For each event pick a channel: SMS, Internal (in-app only), Both, or None.
- Tenant defaults (owner/admin only) — "Applied to every teammate unless they set their own preference."
- My preferences (every user) — overrides the tenant default for that user only. A blank row falls back to the tenant default, or SMS if none is set.
Step 2 — Add alert recipients for bell notifications
In Settings → General, the Alert recipients card sends every bell notification — new reviews, signed documents, job alerts, billing notices — to phones and emails of your choice, with a link that opens the app on the exact screen. When the destination belongs to an active login on your account, the link opens already signed in.
- Choose Phone number or Email, enter the destination and an optional label, then click Add.
- Click Alerts on a row to pick which alert types that destination gets. All are on by default; if you try to uncheck everything you'll see "Keep at least one alert type, or pause this recipient".
- Use the row's toggle to pause or resume, and the send icon to fire a real test ("Test text sent" / "Test email sent").
Text alerts use your SMS allowance, exactly like any other message you send.
Step 3 — Turn on No-Reply Alerts
Also in Settings → General: the No-Reply Alerts card pops a red alert for dispatchers when a manual text to a customer or teammate gets no reply within your window (Alert after (minutes), 1–240). Expand Who receives these alerts to pick specific people. Full details: no-reply alerts.
Troubleshooting
- A recipient row says "Sign-in required — this contact isn't linked to a login here" — the one-tap signed-in link is only minted for destinations belonging to an active user in your company. The alert still sends; the person just signs in normally.
- The card shows a texting warning — your account isn't text-ready yet (number registration pending). Email recipients still work; finish 10DLC verification to unlock texts.
- A teammate gets no job-assignment texts — check their My preferences row for that event: Internal or None overrides the tenant default. Also confirm their phone number on their user profile.
- A test send fails — the card reports the real outcome of a real send. For SMS, confirm the number is valid and your account is text-ready, then retry.
FAQ
How does a teammate get job-assignment texts?
On the Notification settings page, set the Job assigned to a teammate event to SMS or Both. Tenant defaults apply to everyone; each user can override with My preferences.
Can the owner get every notification by text?
Yes. Add the owner's phone number under Alert recipients in Settings, General tab - every bell notification is then also sent as a text with a one-tap signed-in link.
What happens if no notification channel is set?
Dispatch Bros uses SMS by default. A user preference beats the tenant default, and the tenant default beats the system SMS fallback.
Can I send only certain alert types to a phone number?
Yes. On the recipient's row, click Alerts and toggle the alert types. All are on by default; keep at least one on, or pause the recipient entirely.
