What each role can see and do

Dispatch Bros has four roles. Owner always has full access and can't be changed. Admin runs the company day-to-day, including team and settings. Dispatcher handles the operational work — jobs, customers, messages, calls. Technician is limited to their own assigned jobs and pay. Everything except Owner is customizable: open Settings and pick the Roles & Permissions tab to turn individual abilities on or off per role for your company.

Before you start

  • Only the owner or an admin can edit role permissions.
  • Changes apply to every person with that role — permissions are per role, not per person.

The four roles at a glance

These are the starting defaults — the toggles below let you widen or narrow Admin, Dispatcher, and Technician however you like.

Step 1 — Open Roles & Permissions

  1. Open Settings from the dashboard.
  2. Pick the Roles & Permissions tab. The card says "Customize what Admin, Dispatcher, and Technician roles can do." and notes "Owner is fixed and is not configurable here."

Step 2 — Pick a role and expand a category

Click the role pill (admin, dispatcher, or technician), then expand any category to see its toggles:

  • Core Operations — dashboard, jobs, calendar, projects (view / create / edit / delete per area)
  • Customers & Team — customers, technicians, dispatchers, subcontractors, referral companies
  • Job Setup — job types, job sources, ad sources, job statuses
  • Invoices & Sales — invoices, estimates, change orders, the items catalog
  • MoneyView finance, View payroll, View reports, View payments, View tips, Use Quick Collect, View billing
  • Communication — messages, calls, call flows
  • Automation & Settings — automations and settings access
  • Support — support and the review QR page
  • Lead Agent — the AI Lead Agent audit export
  • Notifications — who receives existing alerts: Client message notifications, Team notifications, DB Connect notifications, Incoming call notifications

Each toggle is a simple on/off switch. Turning a toggle off hides that area or action from everyone with the selected role.

Step 3 — Save

Press Save Changes at the bottom. While edits are pending you'll see "You have unsaved changes"; a successful save shows "Permissions saved successfully".

Troubleshooting

  • A team member still sees a page you turned off — have them refresh or sign out and back in; permissions are read when the app loads.
  • You changed a toggle but forgot to save — the "You have unsaved changes" note stays visible until you press Save Changes; leaving the page discards pending toggles.
  • The toggles are grayed out — your account doesn't have edit rights on settings. Ask the owner or an admin to make the change.
  • The Notifications toggles don't create new alerts — they only control who receives the alerts that already exist (client messages, team messages, DB Connect, incoming calls).

FAQ

Can I stop dispatchers from seeing money?

Yes. Open Settings → Roles & Permissions, pick the dispatcher tab, expand the Money category, and turn off View finance, View payroll, View payments, or any other money toggle, then press Save Changes.

Can I change what the Owner role can do?

No — Owner is fixed and always has full access. Only Admin, Dispatcher, and Technician are configurable.

Do permission changes apply to everyone with that role?

Yes. Permissions are set per role, not per person — turning a toggle off for Dispatcher affects every dispatcher in your company.

What do technicians see by default?

Technicians are limited to their own assigned jobs and their own pay records. They use a simplified mobile app rather than the full dashboard.
