Add a dispatcher or admin

Dispatchers and admins are added from the Team section of the left sidebar: Dispatchers for the people who run the board and answer calls, Admins for staff who also manage settings and the team. Click Add Dispatcher or Add Admin, enter at least a first name, and optionally an email — with an email they receive an activation link to set their own password; without one they're added login-less and you can invite them later.

Before you start

  • You need permission to create dispatchers or admins — owner and admin have it by default (roles explained).
  • Dispatchers and admins count toward your plan's billable-user limit.

Step 1 — Open the right page

  1. Click Team in the left sidebar.
  2. Pick Dispatchers or Admins.
  3. Click Add Dispatcher or Add Admin. Empty lists show "No dispatchers yet." / "No admins yet." with an Add Your First Dispatcher / Add Your First Admin button.

Step 2 — Fill in the drawer

  • First Name is required; Last Name is optional.
  • Email is optional. The hint under the field reads "Optional — leave empty to add them without a login. You can add it later from Edit." A notice box tells you exactly what will happen:
    • With an email: "An activation email will be sent so the dispatcher can set their own password."
    • Without: "No email — the dispatcher is added without a login and no activation email is sent. You can add their email later from Edit."
  • Phone Number is optional.
  • Hourly Rate — dispatchers and admins are paid hourly through payroll; set the rate here.
  • Enable Clock In/Out — on by default, so they can clock in and out.

Click the save button at the bottom of the drawer to finish.

Step 3 — Manage the account afterwards

  • The green Active pill is a toggle — click it to deactivate. In the Inactive section, click the pill or Reactivate to bring them back. Inactive members can't sign in.
  • The mail icon (Resend invite) re-sends the activation email; it flashes "Invite sent!" on success.
  • The pencil opens the edit drawer, where you can also change their login email. The drawer warns: "This is their login — changing it means they sign in with the new address."
  • Delete is permanent. For admins the confirmation reads: "This will permanently delete this admin user. This action cannot be undone."

Troubleshooting

  • You get an upgrade prompt instead of a save"Billable user limit reached. Upgrade your plan or add an extra seat." The prompt lets you request an extra seat or upgrade the plan.
  • The deactivate click seems to do nothing — watch for the toast: a success shows "Dispatcher deactivated"; a failure shows the real error so you know what blocked it.
  • They never received the activation email — use the Resend invite mail icon on their row and have them check spam.
  • Changing the email failed but other edits saved — the drawer says so explicitly and keeps the drawer open; fix the email and save again.

FAQ

What's the difference between a dispatcher and an admin?

An admin can do almost everything the owner can, including managing team members and settings. A dispatcher handles day-to-day work — jobs, customers, messages, and calls — but can't manage users by default. Both are adjustable in Roles & Permissions.

Do dispatchers and admins need an email?

No — leave the email empty to add them without a login, and add it later from Edit when they're ready to sign in. With an email, they get an activation link to set their own password.

Why can't I add another dispatcher?

Your plan's billable-user limit is reached. Dispatch Bros shows an upgrade prompt — upgrade the plan or request an extra seat from that prompt.

How do I remove a dispatcher without losing their history?

Click the green Active pill to deactivate them. They can no longer sign in, but their records stay. Delete is permanent and unassigns them from all jobs.
