Add subcontractors: trade, insurance, files

The Subcontractors page under Team is your roster of the outside subs you bring onto projects — each with their trade, license number, insurance expiry date, and a file library for certificates, W-9s, and photos. The same roster feeds the project hub's subs picker, so a sub you add here is immediately available to attach to a project. This is a contact-and-paperwork roster: subs here don't get logins.

Before you start

Step 1 — Add the subcontractor

  1. Click Team in the left sidebar, then Subcontractors.
  2. Click Add Subcontractor. An empty list shows "No subcontractors yet." with an Add Your First Subcontractor button.
  3. Fill in the drawer:
    • Company / Name — required (for example, an LLC name).
    • Trade — what they do (Electrical, Plumbing, ...).
    • Contact name, Phone, Email — optional contact details.
    • License # and Insurance expiry — their paperwork dates.
    • Notes — anything else worth remembering.
  4. Click Add subcontractor. A toast confirms "Subcontractor added".

Step 2 — Upload their files

Files live in the Edit drawer (a new sub needs to be saved first):

  1. Click the pencil on the sub's row to open Edit Subcontractor.
  2. In the Files section, click Upload images / PDF and pick one or more files. Before anything is uploaded the section reads "No files yet — insurance certificates, W-9s, licenses and photos live here."
  3. Photos display as a thumbnail grid; PDFs list by filename and open in a new tab. Hover a file to delete it.

Click Save changes to store any field edits.

Step 3 — Keep the roster current

  • The list shows Name, Trade, Phone, Insurance exp., and Status columns so expiring insurance is easy to spot.
  • The green Active pill is a toggle — click it to deactivate a sub you're not using; the Inactive section keeps them for later reactivation.
  • The trash icon deletes permanently — the confirmation warns that the sub's files are deleted too, and that a sub still assigned to an active project can't be deleted.

Troubleshooting

  • Delete fails with an error — the sub is on an active project. Remove them from the project first, then delete.
  • You can't find the Files section when adding — files are only available in edit mode. Save the sub first, then reopen it with the pencil to upload.
  • An upload fails — only images and PDFs are accepted; the toast names the file that failed so you can retry just that one.
  • The sub doesn't appear in a project's picker — check the roster: deactivated subs are excluded. Flip the pill back to Active.

What's the difference between this page and the Sub checkbox on a technician?

Team → Subcontractors is a company roster of outside subs you hire onto projects, with their paperwork. The Sub checkbox on a technician is different — it marks a person as a shared, assign-only technician for jobs.

What files can I upload for a subcontractor?

Images and PDFs — insurance certificates, W-9s, licenses, and photos. Files are uploaded from the Edit drawer after the sub is created.

Why can't I delete a subcontractor?

A sub still assigned to an active project can't be deleted — remove them from the project first. Deleting is permanent and removes their files too; deactivating is the reversible option.
