Run payroll with pay periods

Running payroll in Dispatch Bros is a review-and-confirm flow on the Payroll page: pick your pay period with the date filter, review each employee's unpaid hours and the amount owed, fix any entries that need it, then press Confirm Paid per person. Confirmed entries are marked paid and locked, the Paid tab keeps the history, and Export CSV gives you the run as a spreadsheet. The page header says it plainly: "Track and pay hourly employees. Separate from job commission finance."
Before you start
- You need the View payroll permission — owner and admin have it by default (roles explained).
- Hours come from the time clock; commission payouts are separate and live in job finance.
Step 1 — Pick the pay period
Open Payroll from the left sidebar. The page defaults to today; use the date filter to select your pay period (a week, two weeks, a month, or custom dates). Filter further with All Employees, All Roles, or the search box if you run payroll per crew.
The three tabs split the data: Unpaid (the default — what you still owe), Paid (history), and All. Stat tiles at the top total the filtered rows — on the Unpaid tab they read Unpaid Hours, Total Owed, and Entries.
Step 2 — Review each employee's entries
Each row shows the employee, role, hourly rate, hours, and amount. Click the eye icon (View Entries) to open their entry list for the period:
- Each entry shows clock-in → clock-out, worked time, and any notes.
- Badges flag entries worth a look: Auto-closed (closed automatically at declared hours — review before paying), Admin closed (an owner/admin stopped the clock), Paid, and Locked.
- Click the pencil (Edit Entry) to fix a time: adjust Clock In, Clock Out, or Notes, then press Save. Edits work in your company's timezone.
Step 3 — Confirm Paid
On the Unpaid tab, press the Confirm Paid button on the employee's row. The Confirm Payment dialog recaps the period, unpaid hours, rate, and total owed, and warns that "Paid entries cannot be edited." Press Confirm Paid to mark every entry in the period as paid and locked.
Repeat per employee. When the period is fully settled, the Unpaid tab shows "All caught up! No unpaid hours."
Step 4 — Export
Press Export CSV (top right) to download the currently filtered view — employee, role, pay type, rate, hours, and amount — for your bookkeeper or payment run. The file is named after the tab and date range you had selected.
Troubleshooting
- The Confirm Paid button is missing — it only appears on the Unpaid tab, for rows with entries, and with a bounded date range selected. Pick a real period first — an all-time range can't be confirmed.
- "No payroll data for this period." — nobody clocked hours in the selected range, or your filters exclude everyone. Widen the date range or reset the filters.
- An edit fails with a clocked-out-elsewhere notice — the entry was open when you started editing and someone closed it in the meantime: "This entry was just clocked out elsewhere — the list has been refreshed." Re-open the refreshed entry and edit again.
- An employee shows hours but no amount — commission-only team members have no hourly rate; their pay comes from job commissions, not payroll. Set an hourly rate in their Edit drawer if they should be paid hourly.
- You can't edit an entry — it's marked Paid or Locked. Paid entries are permanent by design.
FAQ
How do I mark someone as paid?
Pick a date range, stay on the Unpaid tab, and press the Confirm Paid button on their row. The Confirm Payment dialog shows the period, hours, rate, and total owed — confirming marks all of those entries paid and locks them.
Can I undo Confirm Paid?
Paid entries can't be edited, so review the entries and totals in the Confirm Payment dialog before confirming. The Paid tab keeps the full history of what was paid.
Does payroll include commission payouts?
No — the Payroll page tracks hourly pay from the time clock. Commission payouts from closed jobs live in the job finance records and the Finance area.
What timezone are payroll hours in?
Everything on the Payroll page — entry times, edits, and backdated clock-outs — works in your company's timezone, no matter where the viewer is.
