Time tracking: clock in and out

Team members with clock-in enabled track their hours right inside Dispatch Bros: dispatchers and admins use the Clock widget in the top bar of the dashboard, and technicians use the Time Clock card on their Profile tab in the technician app. Hours flow straight into payroll. Two optional enforcement switches on the Payroll page can require clock-in before using the app and auto clock-out at each person's declared hours.
Before you start
- Turn on Enable Clock In/Out in the team member's Add or Edit drawer — it exists for technicians, dispatchers, and admins.
- All clock times display in your company's timezone, no matter where the viewer is (timezone setup).
Step 1 — Clock in
On the dashboard (dispatchers, admins):
- Click the Clock button in the top bar to open the Time Clock panel. When idle it reads "Not clocked in".
- Pick your declared hours from the quick-pick buttons — the caption says "Hours you plan to work today".
- Press Clock In. The top-bar button switches to a live elapsed timer with a pulsing dot.
In the technician app: open the Profile tab and press Clock In on the Time Clock card.
Step 2 — Clock out
Open the same panel or card and press Clock Out. While clocked in, the panel shows a "Current session" timer and a running "Today total" so the person always knows where they stand.
Optional — Enforce clocking with the two Payroll switches
On the Payroll page, the Time Clock enforcement card has two per-company switches (both off by default):
- Require clock-in to use the app — the hint reads "Dispatchers and admins are blocked until they clock in (owner is never blocked)." A gated user sees a full-screen prompt titled "Clock in to start your shift" that explains "Your company requires clocking in before using the app." and asks "How many hours are you working today?" — with quick picks, a custom hours box, Clock In, and Sign out. Nothing else is usable until they clock in (a call already in progress is never interrupted).
- Auto clock-out at declared hours — at the declared mark the app asks whether the person is still working; with no answer, the entry is closed at the declared hours and badged Auto-closed on the Payroll page so a human reviews it before paying.
Optional — Stop a running clock as an owner/admin
The Payroll page shows a Live pill for everyone currently clocked in, with a running timer. Click a pill to open it:
- Clock out now closes the entry at the current server time.
- Clock out at… lets you pick an earlier time in company time (never a future one), then press Stop clock.
Entries closed this way are badged Admin closed in the person's entry list.
Troubleshooting
- The Clock button isn't in the top bar — that user's profile doesn't have Enable Clock In/Out checked, or the status hasn't loaded yet. Flip the checkbox in their Edit drawer.
- "Enter between 0.5 and 14 hours." — the custom declared-hours box only accepts values in that range.
- Someone forgot to clock out — an admin can close it from the Live pill with a backdated time, or edit the entry afterwards from the Payroll entries view.
- A gated dispatcher says the app is locked — that's the clock-in gate doing its job. They clock in (or Sign out) to proceed; the owner account is never gated.
FAQ
Who can clock in?
Any technician, dispatcher, or admin whose profile has Enable Clock In/Out checked. Turn it on or off in their Edit drawer on the Team pages.
What are declared hours?
When clocking in, the person picks how many hours they plan to work (quick picks or a custom 0.5–14). With auto clock-out enabled, the app asks if they're still working at that mark and clocks them out if there's no answer.
Can I force my dispatchers to clock in before working?
Yes — on the Payroll page, turn on 'Require clock-in to use the app'. Dispatchers and admins then see a full-screen clock-in gate before they can do anything; the owner is never blocked.
Can an admin stop someone's running clock?
Yes. On the Payroll page, click the person's Live pill — you can clock them out now or pick an earlier clock-out time. The entry is then badged for review.
