Charge a card fast with Quick Collect

Quick Collect is the fastest way to charge a customer's card: click Collect Payment at the top of the Payments page, type the amount, enter the card, and charge. It works with no job attached — perfect for over-the-phone deposits and walk-up payments — and every charge lands in your payment ledger with a receipt you can text or email on the spot.

Before you start

  • Your Stripe account must be connected and approved (set up Stripe). Without it the composer shows "Payments Not Enabled".
  • You need the Quick Collect permission. Owners have it by default; admins, dispatchers, and technicians can be granted it in Settings → Roles & Permissions.

Step 1 — Open the composer

  1. Click Payments in the left sidebar.
  2. Click the Collect Payment button in the page header. The Quick Collect window opens. (It's available from any Payments tab.)

Step 2 — Enter the amount

  1. Type the amount under Payment amount — it's the big dollar field at the top.
  2. Optionally click + Add tax to apply a tax percent (your last used rate is remembered) or + Add tip to add a tip amount.

Step 3 — Take the card

Under Payment method, Credit / debit card is selected:

  1. Type the customer's name in Name on card.
  2. Enter the card number, expiry, CVC, and billing ZIP in the secure card fields (these are Stripe's own inputs — the card number never touches Dispatch Bros).
  3. Click the charge button to run the card.

Prefer not to handle the card yourself? Choose Send a secure pay link instead and pick Text or Email — the customer pays on their own device.

While the charge runs you'll see "Processing payment..." and "Do not close this window" — the close button is disabled until the charge settles, so a half-finished payment can't be orphaned.

Step 4 — Send the receipt

On the success screen, use Text receipt or Email receipt. The editor opens prefilled with the customer's phone or email so you can confirm — or change — where it's going before you hit Send.

Collecting against a job

If the payment belongs to a job, open the Collect surface and skip the ad-hoc path:

  1. Below the Quick Collect row ("Collect payment without a linked job"), the page lists your recent jobs.
  2. Search with "Search by customer name, phone, or job number..." and click Collect on the job's row.
  3. The same payment composer opens, tied to that job — the charge shows on the job's record and in your reports.

Troubleshooting

  • "Payments Not Enabled" — your Stripe account isn't connected or approved yet. Finish Stripe setup first.
  • "Enter a real US ZIP (5 digits or 5+4)." — the billing ZIP doesn't look like a US ZIP code. Ask the customer for the ZIP on their card statement.
  • "Payment Failed" — the card was declined by the bank. Try another card, or send a pay link so the customer can retry on their own device.
  • "No jobs found" when searching on the Collect tab — try a different job number or customer name, or use Quick Collect if the payment doesn't need a job.
  • Receipt send fails with "Enter a valid 10-digit US phone number" — the number in the receipt editor isn't a valid US mobile. Fix it and press Send again.

FAQ

Do I need a job to collect a payment?

No. Quick Collect charges a card with just an amount and a name on card. If you want the payment tied to a job's record, pick the job from the list on the Collect tab instead.

Can my technician collect payments in the field?

Yes — grant the Quick Collect permission to the technician role in Settings → Roles & Permissions. Technicians then see the Collect Payment button and their own recent jobs.

Can the customer type their own card instead of reading it to me?

Yes. Inside the composer choose Send a secure pay link and pick Text or Email — the customer pays on their own device and you both see the result.

What happens if I close the window mid-payment?

While a charge is processing the screen says 'Do not close this window' and the close button is disabled. If the connection drops after the card was charged, the payment still lands in your ledger automatically.
