The Finance page: your per-job money ledger

The Finance page is your per-job money ledger: every time a job is closed, one row lands here with the job's total, parts, net, and the split between Tech Share, Ref. Co Share, and Co Share. Summary cards total the filtered period and compare it to the prior one, so "how did we do this week, and who gets paid what" is one screen.
Before you start
- Rows are created by closing jobs — an empty Finance page means no jobs closed in the filtered window.
- How the split is calculated (commission, parts modes, fees) is covered in job close math.
- Access follows your role: owners and admins see everything; technicians are limited to their own records.
Reading the page
- Click Finance in the left sidebar.
- The four cards at the top total the filtered period: Tech Share, Ref. Co Share, Co Share, and a comparison vs Prior Period (pick a date range to activate it).
- The table lists one row per closed job with columns for Date, Job #, Customer, Tech, Total, Sales Tax, Payment, Parts, Mode, Net, Tech Share, Ref. Co Share, Co Share, and Actions.
Filtering and searching
- The date filter defaults to Today (in your company's timezone) — widen it to see more history.
- Search with "Search job #, customer, tech...".
- Narrow further with the dropdowns: All Technicians, All Job Types, All Sources, and All Referrals Co..
- Click Tech Performance (the last control in that row) to see every technician's jobs sent, closed, cancelled and close rate for the same date range — and open a per-technician report from it. It doesn't change the ledger below; see the technician performance article.
- Use Visible Columns to hide columns you don't need — your choice is remembered.
Editing a record
- Click the edit icon on a row. The edit window opens with Service Date, Gross Total, Parts Cost, Commission %, Parts Paid By (Company or Technician), and Technician.
- The preview shows the recalculated tech and company shares as you type.
- Click Save Changes.
To remove a record entirely, use the delete icon — the Delete Finance Record confirmation explains the consequence: the job's money math is removed and the job reopens for a fresh closeout.
Exporting
The header buttons — Export Excel, Bulk Export, Email Report, and Bulk Email Report — turn the filtered ledger into files and emailed reports. See export finance data for each one.
Troubleshooting
- "No finance records yet. Close out a job to start tracking." — nothing has been closed in this window. Check the date filter first; it defaults to Today.
- "No records match your filters." — the ledger has rows, but your combination of search, date, technician, type, source, and referral filters excludes them all. Clear filters one at a time.
- The vs Prior Period card says "Select a date range" — the comparison needs a bounded window (it compares against the same length of time before it). All Time can't be compared.
- A row's shares look wrong — open the edit window and check Commission % and Parts Paid By; the two parts modes split the money differently (see job close math).
FAQ
Where do Finance rows come from?
From closing jobs. When a job is closed with its money details, one finance record is created with the total, parts, commission math, and the tech/referral/company split. Deleting the record reopens the math.
Can I fix a mistake in a closed job's numbers?
Yes — click the edit icon on the row and change the gross total, parts cost, commission percent, parts payer, or technician. The shares recalculate automatically.
What do Tech Share, Ref. Co Share, and Co Share mean?
The three-way split of each job's net: the technician's payout, the referral company's cut (when a referral source is involved), and what your company keeps.
Why is a job missing from Finance?
Only closed jobs with a finance record appear. Check the date filter first — it defaults to Today — then confirm the job was actually closed, not just completed in conversation.
