Export finance data to Excel or email a report

The Finance page turns its ledger into files four ways: Export Excel downloads the current filtered view as a workbook, Email Report sends that report to any email address, Bulk Export zips one Excel per technician for a date range, and Bulk Email Report emails each technician their own report in one pass. All four respect the same numbers you see on screen — what you filter is what exports.

Before you start

  • You need rows in the ledger — close jobs first, and set the date filter to the period you want (it defaults to Today).
  • The export buttons sit in the Finance page header: Export Excel, Bulk Export, Email Report, and Bulk Email Report.

Export the current view to Excel

  1. Filter the page to the period, technician, or source you want — the export takes exactly the filtered table.
  2. Click Export Excel. A formatted workbook downloads, named after the technician selection and date window.

The button is disabled while the table is empty — filter to a window that has records.

Email a report

  1. (Optional) Filter to a single technician first — the recipient then prefills with that technician's email instead of yours.
  2. Click Email Report. The Email Finance Report window opens.
  3. Confirm or change the Recipient email and click Send Report.

The email carries the same report as the Excel download for the current filters.

Bulk Export — one ZIP, one file per technician

  1. Click Bulk Export.
  2. Pick a Date range (All Time isn't supported here — the export needs a bounded period).
  3. Click Export ZIP. You get one ZIP containing a Finance Report Excel for every technician who has closings in those dates, plus a company-share-by-technician summary file.

Very large windows are capped at the first 10,000 records — the result message tells you if that happened so you can narrow the range and run again.

Bulk Email Report — pay-period statements in one click

  1. Click Bulk Email Report and pick a Date range.
  2. Every technician appears in a checklist — those with closings in the window come pre-checked, and techs with zero closings are grayed out. Use Select all or Clear to adjust.
  3. Send. Each selected technician receives their own Finance Report for those dates at the email on their account.

This is the fastest way to hand out pay-period statements — pair it with payroll at the end of each period.

Troubleshooting

  • Export Excel is grayed out — the filtered table is empty. Widen the date filter or clear search/filters.
  • "No finance records in the selected date range." — the bulk window you picked has no closings. Adjust the dates.
  • A bulk export came back incomplete — the 10,000-record cap hit. The result note says so; split the range into smaller windows.
  • A technician didn't get their bulk email — check they were checked in the list and that their account has a working email; techs with no closings in the window are skipped by design.
  • "Failed to send email report" — a transient send failure; try again. If it persists, verify the recipient address.

How do I send each technician their own numbers?

Use Bulk Email Report. Pick a date range, and every technician with closings in it comes pre-checked — one click emails each of them their own report at the email on their account.

Can I email a report for just one technician?

Yes — filter the Finance page to that technician, click Email Report, and the recipient field prefills with that technician's email.

Why won't Bulk Export run on All Time?

Bulk exports need a bounded date range so the files are a defined period. Pick real dates; very large ranges are capped at 10,000 records per run.
